A note from Bobby
Thanks for wanting to sell China with us. I've kept this short on purpose, and most of it is what we promise you: your clients stay yours, your margin stays private, and your travelers get the same care we give our own. Read the short version, sign, and your net rates arrive in your inbox a minute later. If anything here doesn't work for your business, write to me before you sign and we'll talk it through.
Bobby Robbins, Founder, Harmony Bridge Travel
The short version
What we promise you
- Your clients stay yours. We never market to them, during the trip or after it. If one of them contacts us directly, we send them back to you and the booking stays yours.
- Your brand comes first. Sell our trips under your own name. Our itineraries come in Word, ready for your logo.
- Your margin stays private. We never share what you charge or who your clients are.
- Fast, firm numbers. A net quote within 24 hours of a complete request, held for 14 days.
- Departures that go. Our guaranteed departures run with just 2 travelers. If we ever cancel one, you get every dollar back.
- A free place for groups. One free place for every 10 paying travelers on a group booked at least 6 months out.
- Care on the ground. Licensed Chinese inbound operators, licensed English-speaking guides, and a contact for your travelers 24 hours a day.
- No strings. No minimums, no exclusivity, no fees. Either of us can end this with 30 days' notice.
What we ask of you
- Keep our net rates inside your company.
- Don't advertise our trips below our published price. You're always free to charge more.
- Don't book our guides, drivers, hotels or inbound partners around us for trips we designed for you.
- Pay on time: a 25% deposit (at least $500 per traveler) to confirm, and the balance 60 days before departure.
The full terms below say the same things in more detail.
The full terms
1. What this covers
You may sell Harmony Bridge trips to your own clients at net rates: guaranteed departures, private journeys and group programs, plus any extensions we quote you. This agreement covers every booking you make with us while it is in force. It is not exclusive: you may work with other suppliers, and we may work with other partners.
2. Net rates and your price
- We give you a net rate per person, twin share, for each trip and date. The net rate covers everything listed as included in the trip.
- Once your deposit is paid, the net price of that booking won't change, whatever happens to fuel prices or exchange rates.
- You decide what you charge your clients.
- We publish one retail price for each departure and never sell below it ourselves. Please don't advertise our trips below that published price. What you charge in a private quote to your own client is your business.
3. Confidentiality, both ways
- Our net rates, rate sheets and quotes are confidential. Share them only with people in your company who need them. Never share them with travelers or other companies, and don't publish them.
- We keep your information just as private: your clients' names and details, what you charge, and your booking numbers. We use them only to run your clients' trips.
- This section stays in force for 2 years after this agreement ends.
4. Selling under your own brand
- You may give our trips your own name and sell them under your brand.
- We provide itineraries, photos and trip notes for you to market these trips. Edit them for style as you like, but keep the inclusions, pace, health and safety information accurate.
- Our photos and text stay ours, and you may use them only to sell trips booked with us.
5. Client protection, both ways
- Your clients stay yours. We will not market to your clients or ask them to book with us directly. If one of your clients contacts us, we send them back to you, and any booking that follows stays yours.
- Our partners stay ours. You won't contract our guides, drivers, hotels or inbound operators in China directly for trips we designed or quoted for you, or for your clients who traveled with us.
- Both protections last for 24 months after each client's last trip with us.
6. Quotes and bookings
- We send a firm net quote within 24 hours of a complete request (dates, group size and rooming). Quotes hold for 14 days.
- A booking is confirmed when we receive your deposit and the travelers' names exactly as they appear in their passports.
- At least 60 days before departure, send us passport details, the rooming list, dietary and health needs, and emergency contacts.
- We keep traveler information private, use it only to run the trip, and share it only with the suppliers who need it.
7. What's included
Each trip's itinerary lists what is included. Unless it says otherwise, our net rates include all domestic transport in China, hotels, the meals listed, licensed English-speaking guides, entry fees, local taxes, and gratuities for guides and drivers. International flights, travel insurance and visa fees are not included.
8. Payment
- Deposit: 25% of the net price, with a minimum of $500 per traveler, to confirm the booking.
- Balance: due 60 days before departure. Bookings made within 60 days of departure are paid in full.
- You may pay by bank transfer (ACH) or card. Card and bank processing fees are yours, and we show them as a line on your invoice.
- We confirm every payment in writing. Our bank details never change by email; if you ever receive a message saying they have, call us before you pay.
- If the balance isn't paid on time, we contact you first. If it still isn't paid, we may cancel the booking and the charges in section 9 apply.
9. If your clients cancel
Charges are based on the net price, per traveler, counted from the day we receive your cancellation in writing:
- More than 60 days before departure: a full refund, less card or bank processing fees.
- 60 to 30 days before departure: everything paid becomes a credit toward any Harmony Bridge trip departing within 24 months.
- Fewer than 30 days before departure: no refund. A traveler may pass their place to someone else up to 15 days before departure.
- If you asked us to arrange extras (flights, special events), any costs we can't recover for them are charged as incurred.
10. Free places for groups
One free place for every 10 paying travelers on a group booked at least 6 months before departure. Free places are land only and twin share, with any single supplement charged, and can't be combined with other discounts.
11. If we change or cancel a trip
- If we must make a significant change before departure, we tell you straight away and offer a comparable alternative or a full refund of what you paid us.
- If we cancel a guaranteed departure, you get a full refund.
12. Events outside anyone's control
Neither of us is responsible for failing to perform because of events outside our reasonable control, such as severe weather, natural disasters, epidemics, government action, strikes or civil unrest. If such an event stops a trip before departure, we refund everything we can recover from suppliers and give you a credit for the rest, usable within 24 months. If it happens during a trip, we look after your travelers first and work with you on the costs of any changes.
13. What we do
- Arrange every service in our trips through licensed Chinese inbound operators, with licensed English-speaking guides.
- Look after your clients in person while they travel, with a contact available 24 hours a day.
- Tell you promptly about anything that affects your clients' trip, and handle any emergency with you.
- Choose our suppliers with care and check them regularly.
14. What you do
- Give your clients booking terms that are at least as protective of us as ours, including the payment, cancellation and health information above.
- Tell your clients about passport, visa and entry rules (we confirm current requirements for each booking), and strongly encourage travel insurance with medical and evacuation cover.
- Hold any seller of travel registrations your state requires.
- Tell us right away about any problem during a trip so we can fix it.
15. Insurance
Each of us keeps general liability and errors and omissions insurance while this agreement is in force, and shares proof of it on request.
16. Responsibility
- Each of us is responsible for our own acts and omissions and those of our staff.
- Each of us will cover the other for claims and costs caused by our own breach of this agreement, negligence or misconduct.
- Hotels, airlines, railways and attractions are independent businesses. We are responsible for arranging their services with care, not for their own acts or omissions.
- Neither of us is liable to the other for indirect losses, such as lost profits. Except for amounts owed under sections 3 and 5, or harm caused by gross negligence or willful misconduct, neither of us is liable to the other for more than the amount paid to us for the booking concerned.
17. Disagreements and law
If we disagree about anything, we'll talk first and try to sort it out within 30 days. If we can't, either of us may take it to the courts in Montgomery County, Texas. Texas law governs this agreement.
18. How long this lasts
This agreement runs for one year from signing and renews automatically each year. Either of us may end it with 30 days' written notice. Bookings already confirmed continue under these terms, and sections 3 and 5 last as long as they say.
19. Updates
If we update these terms, we give you 30 days' notice by email. Bookings already confirmed keep the terms they were made under.
20. Signing
This is the whole agreement between us about selling Harmony Bridge trips at net. We each agree to sign electronically. Typing your name and ticking "I agree" has the same effect as a handwritten signature, and we email you a copy straight away.
